CONCEPT OF VIRTUAL INTERVIEW CABINS

Shuklendu
www.OnlineJobsFair.com
08 Nov. 2012

  • We have already booked this URL

  • Enclosed, find my drafts for:
    • UI
    • Concept Note
    • FAQ
    • Process Flow Chart etc.

  • A few things remain, such as:
    • Terms & Conditions / List of Messages
    • Metatags / Counters etc.
which are low priority – can be done later

  • After you / Nitin had time to study these pages, pls. list your questions (some of which may not have even occurred to me). Then, I can visit your office for discussion.

  • I am sending a copy of this to my ex-L&T colleague (also ex-RecruitGuru), Inder Sethi, who was deeply involved in creation of my earlier job-portals.

  • I would like to launch this site on 15 April 2013
    (3P Founders Day)

Concept of "VIRTUAL INTERVIEW CABINS"
(VIC/1)

  • Any ground-based, physical facility for interviewing has limitations of “space.”
Some big companies do have 3/4 interview cabins in their Recruitment Dept. (L&T had 3, at one time)

  • Sometimes, interviews for different positions are going on in different cabins.
But, occasionally, interviews for SAME position are going on simultaneously in all 3 cabins, e.g.:
    ➤ Data Entry Operators
    ➤ Machine Operators
    ➤ Graduate Engineer Trainees
    etc.

  • When a very large number of suitable applicants have to be interviewed, in such a case, multiple “Interview Panels” are constituted.

  • Candidates are NOT assigned to any particular Interview Cabin / Interview Panel.

  • All candidates come in, register with the receptionist and wait in the waiting hall.

(VIC/2)

  • As soon as an interview gets over in any particular cabin, panel member presses the green button on the wall, and a green light comes up above the door of that cabin, indicating it is ready to receive the next candidate.

  • As soon as Receptionist notices this green light (Annunciator) on cabin, she directs the next (scheduled) candidate to that cabin.

  • Idea is:
Interview Panel’s “time” is the most precious “resource,” and must not be wasted.
    So,
who-so-ever (of the scheduled) candidate is present, is pushed into the cabin!!

  • Physical cabin space is also precious.
It must be used to the max. limit.
It must not remain “Unoccupied,” even for a minute!

  • But, in a virtual world, it is a very different situation.

VIC/3

  • There is no "space" constraint!
Any number of VIRTUAL CABINS can be instantly "created" and "allotted" to any number of "Interviewers".

  • Only limitation is:
For interviewing a large number of suitable candidates for any given vacancy, how many "interviewers" can one find/assign to conduct interviews simultaneously in different VIRTUAL CABINS?

  • Hence, "cabins" can be created depending upon the "No. of Interviewers" available, at a given point of time.

  • Of course, if an employer is not in a great hurry to fill up the vacancies, he can choose to spread out the interviews over a number of days, with just ONE Interviewer.
(Maybe, I forgot to provide for this particular scenario in my UI for allotting "Interview Dates" (i.e., more than one date). UI will need to be modified to take care of this.)

  • Now, in a Virtual World, there is no receptionist to "guide" a waiting candidate to enter (say)
    • A cabin, or
    • B cabin

VIC/4

  • I am sure, it is only a matter of time before a VIRTUAL RECEPTIONIST (an AVATAR-like software), can do this efficiently.

Till such time:

  • Employer/Recruiter will need to "pre-assign" different Cabin Nos. to different SETS (Groups) of candidates.

  • Recruiter will also assign these Cabin Nos. to his own several interviewers (if interviews have to take place simultaneously).

(Diagrams below show examples)

Interviewer: Pradip Mhatre
→ Cabin 123
→ PEN 43864 (Patel)
→ PEN 23947 (Panchal)
→ PEN 84366 (Dighet)

Interviewer: Raghavendran
→ Cabin 463
→ PEN 12124 (Ajay)
→ PEN 32633 (Venkat)
→ PEN 89184 (Sharath)

VIC/5

  • Assigning / Creating "VIRTUAL CABINS"
Easiest thing (for software) is to keep assigning the "NEXT" Number

Disadvantage:

  • After 3 years, that "NEXT" Cabin No. could well be:
    CABIN NO: 2369483
Very difficult for either candidate or recruiter to remember/enter in some UI, to connect up.

Alternate Method

  • Let software create 1000 cabins, numbered 1, 2, 3, ... 1000.

  • Out of this inventory, assign whichever "Number" is FREE at the moment.
Obviously, out of 1000 cabins, some are bound to be FREE when recruiter is scheduling Interview Date / Generating Interview Time Schedule (using ADD CABIN button); much like ADD EDU. QUALL. button in Submit Resume.

Cabins are getting FREE all the time — and getting OCCUPIED, again & again.

JOBSEEKER U I REFERENCE PAGES

JOB SEEKER U - I OCCASIONAL USE PAGES

Dear Jobseeker

When I appeared for my M.S. (Mech. Eng.) Viva Voce in 1958 (University of Kansas), there were 4 other students sitting in the interview room, as "Silent Observers".

These were Graduate Students, who would themselves appear for their own Viva Voce exam, in the next few months.

University allowed them to sit in as observers and find out for themselves:

  • What kind of questions were faculty members asking

  • What kind of answers I was giving.

This "Observer Status" helped them prepare for their own upcoming exams.

On this page, you do the same by watching what kind of questions are interviewers asking and what kind of answers are candidates giving.

The more interviews you attend here as an "Observer", the better for you.

And though, you can neither ask any questions nor supply any answers to the candidate being interviewed; you can participate in the

AUDIENCE POLL,

by entering your own "Rating" of the candidate (– kind of "Peer Appraisal").

(Rating of Interviewers too!!)

Isn't this a great way to prepare yourself for your own interview?

PS: You need a sound card (in PC/Tablet) and headphones.

Any Friends Online?

(04-11-12)

Dear Jobseeker,

When you visit a ground-based JobFair, quite often you go with several friends. You may even move around together.

But in a Virtual JobFair like this, how can you find out if some of your friends too are going around the fair at this very moment?
And if some of them are undergoing interview right now?
(Please, do not disturb them till the interview gets over)

Very easy! Just enter their Mobile Numbers below and we will show you!

“Any Friends Online?” / Page Note: 1

  • If concerned jobseeker really does find a few of his friends online, then this page, it can develop into “networked communities of like-minded persons” (all seeking jobs).

  • It is very likely, that on-the-spot, the candidate discovering his friends online, may call them up on their mobiles! They may share their experiences and ask questions about the working of OnlineJobsFair. This can start a “Viral Buzz”!

  • Clicking on “Cabin Number” (of friend getting interviewed), should take him to page,
    “Preparing For Interview”
    AND
display only ONE position – viz: the position for which, his friend is facing interviewers!
He is bound to listen-in the questions and answers, and even “rate” his friend! When the interview gets over, expect him to call-up his friend and tell him, “where he goofed-up”!
Proactively inform the friend about what the interviewers asked / poor questions.

  • Even if none of the Mobile Nos entered are found to be online, we are capturing Mobile No and Birthdate. We will immediately send out a promo SMS to that person, asking him to talk to his friend (“so-and-so”) re: OnlineJobsFair.

“Any Friends Online” / Page Note: 2

Every time, a logged-in jobseeker, enters some mobile nos of his friends, on this page, store the data entered in a database as shown below:

FAQ - CANDIDATES

JobFair [for Candidates]

Q: What is JobFair?

A: JobFair is our online platform where:

  • Employers post their jobs/vacancies for Fresh Graduates (for the time being), and interview applicants online using Google Talk / IM / Skype etc.

  • Ours is a Virtual JobFair, aimed at replacing:

    • Physical, on-ground job fairs

    • Campus Interviews

  • Fresh Graduates submit their resumes, apply online against jobs posted and appear for online interviews from their tablets / PCs, etc.

How does Virtual JobFair differ from typical job portals?

A:
Job portals are PASSIVE post offices, where employers post their vacancies and jobseekers post their resumes.

After searching for suitable jobs, candidates can "apply" online and the job portal will email their resumes to the concerned job advertisers. That’s all. The role of a typical job portal ends here.

As against this, our JobFair is an ACTIVE platform, enabling employers and jobseekers to engage in online interviewing!

How does ONLINE interview take place?

A:
After login, both the Recruiter and the Applicant open their respective
INTERVIEW CONSOLE

This console displays:

  • Job Advt. Details

  • Applicant Resume Details / Photo

  • A Chat Room for typing interview questions and answers
(This permanently saved/preserved log is very useful for future reference by Senior Company Executives, at any time.)

  • Space to display Skype Video

In addition, Employer’s Interview Console has provision for:

  • Recording "rating" of the candidate

  • Entering whether "Rejected" or "Selected"

  • Sending online OFFER LETTER

How do Recruiters and Applicants know when exactly to login and open the Interview Console?

A:
For each posted job, Recruiter selects suitable candidates (from amongst those who applied), and allots interview date/time in
“INTERVIEW CALENDAR (EMPLOYER)” page.

As soon as he allots date/time, a SMS/email message goes out to the concerned candidate (INTERVIEW INTIMATION).

Apart from this, an Applicant can login and look up dates/times for all interviews scheduled for him by different employers, by login/lookup, his own
“INTERVIEW CALENDAR (APPLICANT)” page.

How soon will applicant (jobseeker) come to know about the outcome of his interview?

A: Instantly!
As soon as the interview gets over, the Recruiter is required to:

  • Announce the result by ticking/selecting one of the following options:

    • ⭕ Candidate Selected

    • ⭕ Candidate Rejected

  • Fill up and post online (automatically) a job-offer form, in case the candidate is marked "selected".

Candidates must login/open their respective
“MY JOB OFFERS” page,
to find out the offer and “Accept” the same ONLINE.

Once a candidate “Accepts” the online offer, he will receive the E-mail offer by way of confirmation and record.

A candidate may apply against many different jobs from many different companies. How can he keep track?

A: No problem.

There is no need for him to manually write down all of these on a piece of paper.

All he needs to do is to look up the
“YOUR INTERVIEW SCHEDULE” page, from time to time.

Of course, this page will show him a list of only those jobs where he has been “Accepted” by concerned employers for interviewing.

I don’t have a PC. Can I access/use JobFair from my tablet?

A: Of course, you can.

As long as:

  • You can access www.CustomizeResume.com from your tablet

  • Your tablet has Instant Messaging (IM) and/or Skype apps properly installed

How does it help to post/upload my photo in my resume?

A:
Thru JobFair, we are trying to provide to both jobseekers and employers a VISUAL / INTIMATE context — approaching a “FACE-TO-FACE” encounter.

Thru our own Domain Expertise, we know that candidates who post their photos in resumes stand a much better chance of getting selected for interviews, as compared to those who do not.

Besides, employers want to eliminate “Proxy Interviewees”!

Q: Can I be interviewed over my mobile phone?

A: Sure, you can.

In “YOUR INTERVIEW CALENDAR” page, you are required to indicate ☑️ your preferences for “Mode of Interview”, viz:

  • 📱 Mobile Phone

  • 💬 Chat thru IM / Google Talk

  • 🎥 Video thru Skype

Please indicate your choices there.

Of course, the option to select any particular “Mode” lies with the Recruiter (Interviewer) concerned.

Q: Does it help to mention my Skype ID in my resume?

A: It helps quite a lot!

By using Skype, the impression that you can make upon the interviewer — through your body language / your facial expressions — is unique.

It is our own experience that a recruiter will ask you many more questions and give you much more time in a video interview.

We strongly recommend that you make video interview (thru Skype) your foremost option.

And Skype is FREE!

Do install it on your tablet/PC and do mention your Skype ID in your resume.

Q: Why is “INTERVIEW CALENDAR” only for 2 months, viz: Current and the Next?

A: Almost all job vacancies need to be filled up fast.

This is why nearly 100% of advertised jobs have an “Expiry Date” of 30 days. Many have even 15 days.

Nearly 90% of the applications/resumes get received by job-advertisers within 7 days of posting a job ad.

No recruiter will normally schedule an interview beyond 15/20 days thereafter.

Hence, there is no need to provide for a longer calendar.

Q: If, for some reason, I am not in a position to “Accept / Confirm” the interview date selected by a recruiter, what should I do?

A: Look up
“YOUR INTERVIEW SCHEDULE” page.

There, instead of ticking ☑️
“Confirm that you will attend” column,
tick ☑️ “I request alternate date” column.

Concerned recruiter will get a SMS message, based on which he may accede to your request and give you an alternate date, through his
“CREATE INTERVIEW SCHEDULE” page.

But then, you run the risk of rejection and lost opportunity.

Q: After initially "accepting" (online) to appear for an interview, can I later on "Regret"?

A: Yes, you can.

Visit “Your Interview Schedule” page and untick ⬜ the checkbox which you had ticked ☑️ earlier.

This action will pop up Outlook Email, with that employer’s email ID already filled up.

Also, the “Subject Line” will be auto-filled to read:
"Regret cannot attend [JOB ID] / [POSITION] / [Date/Time]"

Now type out your message (as to why you will not be able to attend the interview), and enter your Name / PEN before sending.
You can request for an alternate date.

You must have some strong/valid reasons to “Regret”.

Q: If I initially "Accept" online a job offer made to me, but fail to join on the "Joining Date" mentioned in the offer, is there any penalty / consequence?

A: This is the worst thing you can do!

The moment you fail to join on the mentioned date, concerned employer MAY enter your name / PEN in an online page:
“Blacklisted Candidates”

Since this page can be “accessed/viewed” by all of our registered/logged-in employers, they may see your name and hesitate to make you a job offer — especially if several employers have blacklisted your name.

So, if you are not 100% sure/keen to join a particular employer, the best thing for you to do is NOT to "Accept" the job offer ONLINE in the first place.

Q: On "List of Live Jobs" page, you are listing hundreds of jobs. It is possible that I may apply against many of these jobs and just do not remember which ones. Hence, there is an (embarrassing) possibility that I may end up "applying" against a particular job twice – or even more. How can I avoid this mistake?

A: Don’t Worry. Be Happy.
We have taken care of this.

On “List of Live Jobs” page, we have (at the end) provided a column:
“Date on which you applied.”

The moment you tick ☑️ select against a particular job and click [APPLY] at the bottom, this column will get filled up with the date.

Next time you visit this page (after login), you will see this date!
(Of course, if that job has “expired” by that time, you may not see it.)

Q: I do not find any mention of salary / stipend offered in the job adverts. Why is that? How do I come to know how much salary/stipend I will get in case a job is offered to me?

A:
Although most companies do have some “norm” for salary/stipend for entry-level jobs for fresh graduates, these are internal guidelines.

Quite often, actual salary/stipend offered varies from candidate to candidate, depending upon many factors, which include:

  • Interview Performance

  • Command over English language

  • Final year marks

  • Institute from which graduated

  • etc. etc.

You will come to know about salary offered from your Job Offer Letter. You can also ask the interviewer during the interview.
