While going
thru these pages, I came across some observations which, I believe, are quite
relevant to our own
·
Website
design
·
Order
Execution Module
·
Business
Model, as a whole
I request
you to study these carefully and apply your mind as to which of these are worth
copying/worth avoiding, in our own system.
May be in a
week’s time, I will send you the entire book (on a CD) so that we could learn
from the evolution of Amazon.com (Which was launched in Aug. 1995 – as against
3pjobs which got launched in Nov. 1997).

Tapan/Jayant
(APPLITECH – AHMEDABAD)
While we
are in the process of finalizing the features of our “Order Execution Module”, you
may wish to study SIVA and try to incorporate its best features in our Module.
As I have
repeatedly states, after a trial-period of 6/12 months, we, too, would like our
clients to be able to track/monitor their executive search assignments directly,
on their own, on our website. Hence, this migration (to web) is an essential feature
that we have to build into our Module. For this, you may also study www.durakis.com/www.jobsdb.com etc.

As for
as CORPORATE PROFILES are concerned, these must seamlessly integrate with our website.
That
means,
·
Data Capture Screens and
·
Database structure
Must be SAME, whether offline or online.
It is therefore, imperative that these are “approved” by
Cyril in advance, so that these can be easily uploaded on our website.
It is Dossible
that, in each
------------------------------------
Screen, some fields are entered by us to begin with, with a
provision that the personnel manager of the concerned company can modify/edit
the same at a later date, once we give him
Password
Username
Unique
No.
Idea is to transfer this burden (of maintaining/keeping the
profile up-to-date) to the concerned company’s personnel Manager.
Of course, we cannot allow him to change/modify/alter certain
fields, pertaining to past/current orders/payments/invoices/outstanding/placements
etc. etc. He can see/view these, but only we can change these/add to these.

Tapan – Jayant – Neeraj
APPLITECH
Order Execution
For the last 3 days, you have been talking to our
consultants, trying to understand the key elements of our BUSINESS PROCESSES.
By now, you must have grasped one thing.
No matter what the business-process, its KEY ELEMENT is COMMUNICATION.
Communicating with
Clients
– Candidates – Associates – Experts etc.
Communicating by
Phone –
Fax – email – Letter – SMS – (Video?) etc.
So our communication has to be
Ø targeted (to
whom?) – select target
Ø fast (which
mode?) – fax / email etc.
Ø accurate (std.
responses?) – templates
Ø automatic (a
mere “click”?)
And, we need an up-to-date
HISTORY
Of each & every communication.
-----------------------
The communication may be
Ø Outgoing
Ø Incoming
But it must be recorded – to enable the consultants to
“pick-up” the thread at any point, anytime, about any
Client
– Candidate – Asso – Expert etc.
While communicating, we often refer to information / data
stored in
Letters
/ Faxes / emails / Phone-Calls / Documents etc.
So we should be able to refer to these / look these up, real
fast.
We must be in a position to “retrieve” these documents very
quickly – within seconds.
We cannot / should not waste time, shuffling thru a mountain
of papers, looking for that proverbial
NEEDLE
IN THE HAYSTACK.
We must be able to get hold of that needle in matter of 2/3
seconds.
Such superfast RETRIEVAL of any
----------------------------------
Document (email / fax / letter / phone-recording etc.) is
possible, if we
Ø “Annotate” each document with certain
“Keywords” which are most certain to come to our mind, when we are looking for
that document.
Ø use those keywords while searching.
So this boils down to that each of our outgoing / incoming
“communication / message / voice-call / letter / email / fax” must be.
ANNOTATED
At the very instance that it is “generated”.
Ideally, we should not be able to “transmit (or inward
record)” any communication unless-and until, we have.
ANNOTATED
THE MESSAGE.
We must do this thru the
COMMUNICATION
MANAGEMENT WIZARD
Of
ORDER
EXECUTION MODULE
-------------------------------
As far as “Incoming” documents are concerned (letters / faxes
/ bill etc.), we must
·
Scan / OCR / Convert to text
·
Annotate
·
Store for future retrieval.
Outgoing “documents” will not require the first step, since.
·
This are already digital
·
Generated thru WIZARD
Now the question is,
“What if you forget the exact keyword which you had used to
annotate a particular document as it got generated / OCRED?”
Simple.
Use several, most likely keywords to annotate.
Those which are most likely to come to your mind when you
are looking for a particular document.
That would vastly improve the “probability” of our being
able to
--------------------------
“Find” that document in matter of seconds.
In enclosed pages, I have tried to prepare a list of such
“Keywords”. Obvionsly this list in not comprehensive. But it makes a good beginning.
Your WIZARD should incorporate this list in the fashion of a
“drop-down” list.
As he / she scrolls this list, a consultant will click on as
many keywords, as he / she feels are “relevant” to the message / document being
annotated.
In fact, when a consultant clicks on any keywords, all
“similar keywords” should get automatically annotated. There should not be any
need for him / her to separately annotate each one.
As far as “MONTH / YEAR / NAME OF SENDER / NAME OF RECEPIENT
(company – candidate – person etc.)” is concerned, these should get annotated
automatically. No need to “click” these
----------------
The list itself should be
EXPANDABLE
/ EDITABLE
By any consultant, at any time. This will, gradually, make
it
COMPREHENSIVE
INESCAPABLE.
By circulating this not / list to our consultants, I am
requesting them to “expand” / “enlarge” it as much as possible and then handover
to you, by
TO – DAY EVENING.
As far
as all “incoming” letters / bills / challans / invoices / faxes” are concerned,
the recipient will attach a POST-IT slip on it, scribble down as many keywords
as he / she can think of, then send it to EDP supervisor who will get that
document scanned / OCR – ed / annotated (as per slip attached) / stored in
memory.
Maybe we will have a printed “slip” with remarks
·
Preserve / file hardcopy for months
·
Destroy hardcopy after scan
This would be the beginning of the
PAPERLESS
OFFICE.

Welcome to Mumbai & to 3P.
I will join you in the afternoon.
You can spend the morning with Nirmit / Thakur / Mitchelle, who will give you
an overview of how we conduct our business currently. They will give you “samples
/ specimen” of all forms / statements / screens that we use at present and what
are the limitations of each of these.
They will certainly tell you what
data / information we need (on the tap / at our fingertips) to enable us to
take
TIMELY
& INFORMED
DECISION
& ACTIONS
All of you can use enclosed “lists”
to kick-off discussions & note down precise “System Requirements”.
In the afternoon, I will spend time
with you to share my thoughts on “HOW WE SHOULD CONDUCT OUR BUSINESS IN FTURE”
With regards
HCP

Dear Ravi
I
refer to our telecon yesterday, when you informed me that your SRS team will
start work on Phase I, only on Oct. 2 instead of on Sept. 25, as stipulated in
our Purchase Order dt. Sept. 14.
This
has come as a surprise.
I
now request your confirmation that despite late – starting of Phase I, the
completion date for Phase I viz. Oct. 14, 2000, will be strictly adhered to, as
laid down in Annex: B to our order.

Dear Ravi
Thank
you for your email. I was out of town for a day. There was nothing urgent
except to get your confirmation that your team will start SRS on Monday, 25th
Sept. Please let me have names / qualifications of team - members.
Sudhakar
also mentioned that you might even want your finance guy to simultaneously
study the integration of finance / MIS module, along with SRS for Order Execution
Module. This would help them better co-ordinate amongst themselves. I welcome
the suggestion. You need to give me 3/4 days’ notice re: arrival of your
finance guy, so that I can ask our Chartered Accountant, Salil Gandhi, to
remain available for discussions.
Whereas,
you will quote for “Finance / MIS Integration Module, separately, Sudhakar /
Tapan have confirmed that as far as raising of “Invoices” & month – end generation
of
“Customer
Outstanding Statements” is concerned, it is already covered by the Order Execution
Module.

Mr. Sudhakar
APPLITECH
Mumbai
Dear
Sudhakar:
Integration
of Accounts / Finance Software Package with our
ORDER
EXECUTION MODULE.
I
refer to our telecon yesterday. I look forward to meet you on 12th
inst at 11 a. m.
During
our meeting on Sept. 1, question came-up of integrating accounts package
“TELLY” into order-execution module. Ravi said you have tried to do this in the
past but it has not worked well.
On
the other hand, Ravi said that you have, yourselves, developed some Accounts
related packages, which can be, very well integrated with our Order Execution
Module. You have developed one package, specifically meant for “SERVICE”
industries.
During
our meeting itself, I requested
----------------------------------------
2/3
You to plan on such an integration
and let us have your cost-estimate for same. Of course, this transition must
ensure that whatever data we have, currently residing on “TELLY” must be
AUTOMATICALLY migrated to your software package. There should be no need to
re-enter these data manually. This is a key requirement and I would like to
have your confirmation re: this aspect.
To give you an idea of what we are
looking for, I enclose:
Ø
Annex A:
Routine Accounts
related Activities
Ø
Annex B:
Finance Related
Activities (MIS)
Most (but may not be all) of the
items covered under Annex: A, would require, either concerned CONSULTANT (who
is handling a Particular SEARCH assignment) or a junior ACCOUNTANT, to key-in
necessary data into various screens.
Most of the output statements
mentioned
-------------------------------
3/3
In Annex: B, Should get automatically
generated, from the data already entered earlier by the CONSULTANT /
ACCOUNTANT. Of course, some fields may need to be entered later on.
Annex: A & Annex> B, very
broadly describe requirement of computerised system.
Since APPLITECH itself is I
“Service” industry, I suppose you must have already installed such a system in
your own office. As in our case, you too have many consultants, each of whom,
is working on several “mini-projects / assignments” simultaneously, at any
given point of time. I feel the MIS need of Applitech & 3P are very similar
and what is required is mere extension to 3P, what you must have already
implemented long time ago.
With regards,
HCP

Dear Mr. Sudhakar:
Order

Your
offer dated Aug. 21, 2000
I refer to your offer and our
discussions on Aug. 21. Unfortunately we could not meet today (as planned) but Mr.
Cyril Ovely could spare some time either on 29th (Tue.) or on 1st
Sept. (Fri.) and I await your early confirmation.
In the meantime, I have gone thru
your offer. I enclose my comments on your “Terms” as well as some observations
on the “Scope of Work / Features”. Most of these are merely a SYNOPSIS of the
notes given to you earlier.
I am sending 2 copies, so that you
can handover one copy to Mr. Tripathi or make a photocopy & send to Tapan.
As far as the price and the
delivery-period quoted by you is concerned, I do not wish to bargain but I want
your assurance that there will be no compromise on the QUALITY as incorporations
of features / functions and upgradeability is concerned. You may treat this as
our Purchase Order & collect your cheque during your next visit.

GENERAL COMMENTS
Ø
No data should be required to be entered twice
Ø
We should be able to “CUSTOMISE” any statement /
report, simply by
·
Clicking on desired “fields”
·
All outing “sequence-of-appearance” to each such
field.
If such Statements / Reports are meant to be sent to
any outsider (client / candidate / associate etc.) the same cannot be generated
/ printed-out / fax / e-mailed
WITHOUT
Entering P. O. details
Statement / Reports generated for internal use can
only be seen / viewed on screen but cannot be faxed / emailed / printed /
copied.
Ø
Any vacancy / Position advertised by us in
print-media (whether for a client or for ourselves) must be treated as a
Purchase Order, which must get “linked” to the “Advt. No.”
----------------------------
G/2
AND position / vacancy No. as well.
Ø
“Client Name” is the Archor-Point / Reference
point. This is what all of us remember and all search, will normally start by “Clicking”
on a client’s name in a dropdown list.
This is the MAIN-GATE thru which we should enter the
ORDER
EXECUTION MODULE
We should NOT be able to enter O/E module WITHOUR entering / clicking CLIENT
NAME!
Every
data / field should, somehow get Linked to “Client Name” (or a “potential-client”
name? - eg. an inquiry from a client which may or may not result into an order)
Ø
“Individual Activity Time” permitted to a
consultant for each of the 21 activities should be standardised & FROZEN in
advance.
This will be called
“ACTIVITY STANDARD TIME
(AST)
-------------------------------------------
G/3
If, in a particular PO, the concerned
consultant feels that any particular AST needs to be changed, he / she should
approach Nirmit for modifying. This cannot be changed unilaterally.
In course of time (at a later
data) these ASTs will also be visible to the concerned client, when we permit
him SELF-MONITORING (over extranet / internet).
Actual activity-time taken (AAT)
will be compared with AST and variances (-cumulative also) will be calculated
for each P. O.
These + / - ve variances will form
the basis of evaluation of the performance of a consultant in execution of that
particular assignment.
When a consultant has completed 20
order / assignments, it should be possible to plot consultant-wise
FREQUENCY
DISTRIBUTION CHARTS
Of variances / AAT.
Built-In Productivity Measurement
of each consultant has to be a LEY-FEATURE of O/E module.
---------------------------------
G/4
Ø
The O/E module must be able to access the
existing databases directly and there should be no need to construct fresh /
new masters of candidates & clients.
Our database is in Oracle 8i and we will make available the database structure
to Applitech
Ø
Back End
Oracle 8i is ok. We
have a licenced copy. We are trying to get version 2.0 + IFS (Internet File
Server)
Ø
Front End
Our Mr. Cyril Ovely
will advise you on this.
Ø
Our Web site
Not only, you should
thoroughly study the present “functionality / interactivity” of our website but
also obtain a thorough understanding of changes being planned, from Mr. Cyril
Ovely, who is working on this. Any failure, in this, may result in waste of
time / effort / money all around.
For “junior-level” candidates (College students /
Fresh Graduates / Others
-------------------------------------
G/5
Drawing annual salary of < Rs.
2 lakh), we are planning to “sell” their resumes (to an online recruiter) for a
fixed amount per resume.
Such persons, would have, in advance,
authorised us (while filling-in their resume form online on our website), to
“forward” their resumes to our online // offline corporate-clients, without
taking / obtaining their permission each time their resume gets
shortlisted.
When an online shopping-basket
arrives (or is created offline by one of our consultant thru localised
resume-search, for an offline client), the Order Execution Module, should be able
to
Ø
Calculate the amount payable by the corporate
client
(e.g. 10 resumes X Rs. 500/ resume = Rs. 5,000).
Ø
Send out an “offer / quotation” automatically to
the concerned client by e-mail
(standard
letter where blanks get filled-in automatically in case of online shopping
basket or manually by consultant, in
----------------------------------------------
G/6
Case of an offline search),
Asking client to send a D/D of Rs.
5000/=
Ø
Send-out (i.e. email) 10 full resumes (with name
/ contact details) to the concerned corporate client as soon as D/D is received
& details are entered in the O/E module against that specific Shopping
Basket No. / Client Name.
This “ONLINE SALE OF RESUME” feature is not mentioned anywhere in the
folder given to you earlier since this is a recent development.
This is however, one of the most CRITICAL / INPORTANT feature of the
Order Execution Module, which requires perfect / seamless integration with our
website-based process of
Ø Online
Resume-Search by head-hunter
Ø Online
Shortlisting by head-hunter
Ø Online
filling-up of Shopping Basket
Ø Arrival
of SB at our office, triggering the ORDER EXECUTION MODULE.
This
“triggering / activating” is keyword!
