ADMIN TOOL FLIGHT DECK

    Vishesh suggested that we should have a provision whereby foreign companies wishing to subscribe to our Resumine should be in a position to make online payment using credit-cards.

    All over the world, the name of the game is SPEED / FAST. No company in USA/UK would have time or patience to write out a cheque & then send it to us through courier – and then wait for 15 days to use the service!

    On internet, everyone wants things to happen instantly. So, we must make provision for credit-card payment (any credit card).

    For this, I believe we do not have to separately tie-up with a dozen “credit card” companies. I believe we need to tie-up with just one “exchange” company – which, in turn, deals with all credit card Cos.

    Pl get the name of such an “Exchange” company from Nimit / Raju / SriRam and start a dialogue to understand their “commission” terms.

    For “online” subscription payments, we must offer as many options as possible.

If a subscriber company has authorised 10 HR managers to access webservice,

then each of these

managers would/should be able to see/view only his own

Session-Logs” (chronologically arranged

or searchable database).

Only the Chief Personnel Manager should be able to see/view:

  • Session-Log of anyone of the 10 HR mgrs.

  • Consolidated Session-Log of all 10 HR mgrs. (combined) for any day.

  • Cumulative No. of Transactions (of any type) carried…


Authorization

Even if a company wants to authorize all 10 of its HR managers to

“access/use” our web-service, it is possible that the Chief of

Personnel wants to restrict the “access/usage” of certain “Modules”

of our service to only certain HR managers.

The CPO (Chief Personnel Officer) should be able to create/alter the

Authorization as follows:

When CPO modifies this chart anytime, our server will send out

appropriate email to each concerned person re: change.

Only CPO would be able to see the full chart.

If a Regional Personnel officer tries to access/view a particular “Module” for

which he is not authorized, a polite “message” should pop up!

We must also keep a log of how many times the CPO changed the Authorization

Chart/when & what changes he made (including addition/deletion of names).

CPO should be able to see/view this “History,” but cannot change the History!

We also need to decide whether UserID/Passwords (for every Authorized User Mgr)

should be computer generated or should this be done by CPO manually.

In any case, I presume CPO would need to manually enter the email ID of

each person he “authorizes.”

As far as possible, everything should be done ON-LINE (by the CPO or

the local recruitment manager). To the extent possible, we must NOT accept any

“instructions” from our subscriber, by email/fax or typed letter.

Besides increasing our work/our offline support staff, such “offline”

instructions may result into mistakes, making us “liable” for damages!

The main idea behind a webservice is SELF-SERVICE.

We should be able to run/manage our service with no more than

3 persons in our back-office.

I could prove wrong, but, as of now, I feel each time a customer makes further “Online” payment,

a new/unique “Customer Order No (CON)” should get automatically generated – and get

automatically communicated to the client.

Of course, as on date of further payment, if any “balance” amount is lying to the credit of

the client, all transactions should continue to get “adjusted” against such “balance”

amount first,

till the balance stands reduced to ZERO (there will be some programming difficulty in

this logic – but we can resort to some “rounding-off”).

Only after the “balance” amount stands reduced to ZERO, should the new “account”

& new “CON” kick-in & take-over. This is because, somewhere earlier, I have said

that any PRICE / TARIFF REVISION that we may announce, at any point of time, should

become applicable “PROSPECTIVELY” only & should not cover the “existing/earlier” orders

of a client – especially since he has made “ADVANCE” payment & contracted for a

certain value/amount of service. We are bound/obliged to render such service at

the agreed-upon “tariff.”

In real world, if customers expect an imminent “RISE” in the price of a product,

they rush to the market & make purchases at the existing price / ruling price.

Why should “Web-Service” be any different?

We must create a HISTORY-CARD for each & every Customer Order No

(i.e., for each & every fresh online payment).

Conceivably, such HISTORY-CARD may look like follows:

We may even create a “Customer Orders SUMMARY-SHEET” for viewing ALL orders placed

till date at one glance.

Web-Service Admin Tools

There will be 2 tools – one for 3P and the other for each subscriber.

Amongst many things that an Admin Tool will do, one thing is,

it should enable both 3P & the Subscriber,

Statistics of Transactions Carried Out.

Enclosed find some screens which I have developed for this purpose, both for Subscriber & for 3P.

These are not comprehensive. There could be some more as our thoughts crystallize,

but these could be used to get started.

Even if backend software does not get developed by 10th March,

we should most certainly have the screen-designs (for the Subscriber)

ready so that we are in a position to show to L&T managers what kind of

“statistics” they can view thru their Admin Tool.

In addition to several points mentioned in my earlier note dt. 17/01/03, I enclose some

more points for consideration while designing ADMIN TOOL for a subscriber.

It could, conceivably, look like our FLIGHT DECK and could be named

SUBSCRIBER’S CONTROL DESK.

  • Enclosed, find photocopy of p=202 of book “Building the Knowledge Management Network”.

I feel we should try to build this feature into our “Global Recruiter” Webservice.

It would simply “thrill” the HR Managers. With this feature, HR Mgr & his “Line”

colleagues could SIMULTANEOUSLY view the same resume & exchange their views about the

suitability of that candidate against their “advertised” vacancy or even otherwise.

Perhaps each simultaneous “viewer” can independently “rate” that candidate online

(A/B/C/D), so that each participating manager can see the “rating/score” given by his colleagues.

They can debate the rationale behind high/low ratings given by all.

“ADMIN TOOL” FOR A GIVEN SUBSCRIBER OF OUR WEBSERVICE

What should he be able to “do” using this ADMIN TOOL?

  • Add/Delete to “AUTHORISATION LIST” of executives authorised by him to use the webservice

  • (eg: new joinees / resignations / retirement etc).

  • Carry-out changes in REGISTRATION FORM

    • e.g.: changes in Phone No / Email / Address etc.

  • Change “ACCESS / USAGE” RIGHTS of executives already authorised.

  • Now, he can “convert” resumes and also conduct “Resume Search.”

  • Mhatre (Personnel Manager of Kolhapur Factory) was so far authorised only to “convert” resumes.

  • 3P adds a new service of “AdCompose” (being able to compose job-ads & post them on

So, we will need a matrix/tabulation of the kind shown above, which the Central

Personnel Chief should be able to enter/modify. He may not want all of his executives to

be able to see/view the entire tabulation of service/feature authorisation.

But any given executive should be able to see/view WHAT/WHICH specific

services/features he is authorised for.

As soon as the Central Personnel Chief enters this MATRIX/TABLE for the first time,

automatically an email must go to each concerned executive, saying:

"Dear ________,

We have decided to subscribe to 3P’s webservice and your name has been included as

one of the “Authorised Users.” You have been authorised to use/access this service as follows:

YOUR ACCESS-RIGHTS

For using above-mentioned services on 3pjobs.com,

you will need to login by entering the following:

  • Your User ID

If, at any time in future, there is any change in your “ACCESS/USAGE” RIGHTS,

you will be informed through appropriate email.

Once you have logged into 3P’s webservice (as mentioned above),

you will also be able to see/view certain “statistics” re: the actual usage of various functions/features by you.

It is VERY IMPORTANT that you do not reveal to anybody (from within or outside our organisation)

the login info (Member No/User ID/Password). Any leakage of this info, even inadvertently, could cause serious

damage to Company’s interests. So, if at anytime you have reason to suspect that this info might have leaked out,

please immediately inform the undersigned (me), so that I can change your User ID/Password and inform you accordingly.

I also envisage to change your User ID/Password, once-in-a-while, at random. You will be informed of all such changes.

If you have any problem in using 3P’s webservice, send an email to their Mr. Kartavya Chitalia at following email ID ________.

Do mark a copy to me, also phone me, in case your problem remains unsolved for more than 24 hours. Even otherwise,

once-in-a-while, I would like to get your feedback re: the usefulness of this webservice.

You suggested that each subscriber should have an option of selecting (– also de-selecting?)

which of the 3P’s webservices, does he want to subscribe to. This is a good idea –

because web is all about “mass customization” – something which you simply cannot

do in physical manufacture/distribution.

In which case, I suppose, we would need to provide such a “CHECK-LIST” in the REGISTRATION-FORM itself,

which subscriber can fill-in.

But, I suppose, subsequently, if a subscriber wants to add/delete,

he should be able to do so thru the ADMIN TOOL.

So, Admin Tool will need to have provision for such a check-list.

Whenever the Chief Personnel Manager “RE-CUSTOMISES” his “service-options”,

the software must force him to take a fresh look at each executive’s “ACCESS RIGHTS” too. For example,

should he decide to delete the “E-MAIL” feature altogether, then what happens to those of his executives,

who have been earlier granted access/usage of “email” feature? All of them must get an “ALERT” email, saying,

at the corporate-level, it has been decided to discontinue use of this feature, on a company-wide basis.

Maybe, individual emails, as follows should automatically go out to all those

who had earlier “access-rights” to “email” feature:

We may need to incorporate a series of such emails/circulars in the ADMIN TOOL meant for

the use of a subscriber.

We must ensure that the subscriber should be able to "modify" the text of such messages,

which are supposed to carry his name/signature. These must not be hard-coded.

Even, Admin Tool meant for our own use should have this feature.

No hard-coding/full flexibility. We only provide a template/sample message.

One related question:

If a subscriber gives "ACCESS-RIGHTS" to 10 different executives,

should we ask the Chief Personnel Manager to decide/select/enter

the User IDs & Passwords for all of them,
OR
Could we (software) generate these automatically? (in the Registration Form?)

I feel later option would be better.

The more I think about our Webservice, the more I am convinced that flexibility

(mass-customisation) is going to be the key issue, in its success.

Not only would clients want complete flexibility in choosing what features they

want to use (and what not), each client would expect an equally flexible "pricing-policy".

Flexible "pricing-policy".

On a web-service, we cannot dictate –

  • a "minimum" price, or

  • a "maximum" price, or

  • a "fixed" price

In fact, we should not.

What is absolutely impossible to do in a brick-and-mortar real world scenario,

is perfectly feasible in the virtual world.

And since web-savvy clients know that this is possible, they will demand/insist.

Situation, therefore, would look somewhat like follows:

And, depending upon how badly we need that client’s business,

we would try our best to accommodate him – and no one

else need to know or, will come to know.

Wouldn’t we be very flexible if MonsterIndia,

want to "convert" their 4 lakh resumes-database + 30,000 additional every month?
So, the software must take care of this flexibility.

TEMPORARY REGISTRATION FORM

Dear Corporate

By filling in this form, you can avail of our webservice, free-of-cost,

for a period of one month from date of registration or extracting data

& creating a structured database for 500 resumes – whichever is early.

Immediately upon registration, you will be allotted ONLINE:

  • a temporary Member No

  • a User ID

  • a Password

You will need to use these/enter these every time you login for service.

At the end of the free demo service, should you decide to avail of this service

on an ongoing basis, you will need to fill in online, a PERMANENT REGISTRATION FORM.

Entering your temporary Member no/User ID/Password, in that Permanent Form,

will enable you to enter additional details required by that Form.

When you do that, you will be allotted online, a Permanent Member No.

At that time, you will also be able to enter/select any no. of User IDs/Passwords,

depending upon the no. of persons in your organisation authorised to use this webservice.
