are in the process of finalizing the features of our “Order Execution Module”, you
may wish to study SIVA and try to incorporate its best features in our Module.
As I have
repeatedly states, after a trial-period of 6/12 months, we, too, would like our
clients to be able to track/monitor their executive search assignments directly,
on their own, on our website. Hence, this migration (to web) is an essential feature

For the last 3 days, you have been talking to our
consultants, trying to understand the key elements of our BUSINESS PROCESSES.
By now, you must have grasped one thing.
No matter what the business-process, its KEY ELEMENT is COMMUNICATION.
Communicating with
Clients
– Candidates – Associates – Experts etc.
Communicating by
Phone –
Fax – email – Letter – SMS – (Video?) etc.
So our communication has to be
Ø targeted (to
whom?) – select target
Ø fast (which
mode?) – fax / email etc.
Ø accurate (std.
responses?) – templates
Ø automatic (a
mere “click”?)
And, we need an up-to-date
HISTORY
Of each & every communication.

The communication may be
Ø Outgoing
Ø Incoming
But it must be recorded – to enable the consultants to
“pick-up” the thread at any point, anytime, about any
Client
– Candidate – Asso – Expert etc.
While communicating, we often refer to information / data
stored in
Letters
/ Faxes / emails / Phone-Calls / Documents etc.
So we should be able to refer to these / look these up, real
fast.
We must be in a position to “retrieve” these documents very
quickly – within seconds.
We cannot / should not waste time, shuffling thru a mountain
of papers, looking for that proverbial
NEEDLE
IN THE HAYSTACK.
We must be able to get hold of that needle in matter of 2/3
seconds.
Such superfast RETRIEVAL of any

Document (email / fax / letter / phone-recording etc.) is
possible, if we
Ø “Annotate” each document with certain
“Keywords” which are most certain to come to our mind, when we are looking for
that document.
Ø use those keywords while searching.
So this boils down to that each of our outgoing / incoming
“communication / message / voice-call / letter / email / fax” must be.
ANNOTATED
At the very instance that it is “generated”.
Ideally, we should not be able to “transmit (or inward
record)” any communication unless-and until, we have.
ANNOTATED
THE MESSAGE.
We must do this thru the
COMMUNICATION
MANAGEMENT WIZARD

EXECUTION MODULE

As far as “Incoming” documents are concerned (letters / faxes
/ bill etc.), we must

Scan / OCR / Convert to text

Annotate
·
Store for future retrieval.
Outgoing “documents” will not require the first step, since.

This are already digital

Generated thru WIZARD
Now the question is,
“What if you forget the exact keyword which you had used to
annotate a particular document as it got generated / OCRED?”
Simple.
Use several, most likely keywords to annotate.
Those which are most likely to come to your mind when you
are looking for a particular document.
That would vastly improve the “probability” of our being
able to
--------------------------
“Find” that document in matter of seconds.
In enclosed pages, I have tried to prepare a list of such
“Keywords”. Obvionsly this list in not comprehensive. But it makes a good beginning.
Your WIZARD should incorporate this list in the fashion of a
“drop-down” list.
As he / she scrolls this list, a consultant will click on as
many keywords, as he / she feels are “relevant” to the message / document being
annotated.
In fact, when a consultant clicks on any keywords, all
“similar keywords” should get automatically annotated. There should not be any
need for him / her to separately annotate each one.
As far as “MONTH / YEAR / NAME OF SENDER / NAME OF RECEPIENT
(company – candidate – person etc.)” is concerned, these should get annotated
automatically. No need to “click” these

The list itself should be
EXPANDABLE
/ EDITABLE
By any consultant, at any time. This will, gradually, make
it
COMPREHENSIVE
INESCAPABLE.
By circulating this not / list to our consultants, I am
requesting them to “expand” / “enlarge” it as much as possible and then handover
to you, by
TO – DAY EVENING.
As far
as all “incoming” letters / bills / challans / invoices / faxes” are concerned,
the recipient will attach a POST-IT slip on it, scribble down as many keywords
as he / she can think of, then send it to EDP supervisor who will get that
document scanned / OCR – ed / annotated (as per slip attached) / stored in
memory.
Maybe we will have a printed “slip” with remarks

Preserve / file hardcopy for months
·
Destroy hardcopy after scan
This would be the beginning of the

Sudhakar

study the integration of finance / MIS module, along with SRS for Order Execution
Module. This would help them better co-ordinate amongst themselves. I welcome
the suggestion. You need to give me 3/4 days’ notice re: arrival of your
finance guy, so that I can ask our Chartered Accountant, Salil Gandhi, to
remain available for discussions.

During
our meeting on Sept. 1, question came-up of integrating accounts package
“TELLY” into order-execution module. Ravi said you have tried to do this in the
past but it has not worked well.
On
the other hand, Ravi said that you have, yourselves, developed some Accounts
related packages, which can be, very well integrated with our Order Execution
Module. You have developed one package, specifically meant for “SERVICE”
industries.
During
our meeting itself, I requested

You to plan on such an integration
and let us have your cost-estimate for same. Of course, this transition must
ensure that whatever data we have, currently residing on “TELLY” must be
AUTOMATICALLY migrated to your software package. There should be no need to
re-enter these data manually. This is a key requirement and I would like to
have your confirmation re: this aspect.

Since APPLITECH itself is I
“Service” industry, I suppose you must have already installed such a system in
your own office. As in our case, you too have many consultants, each of whom,
is working on several “mini-projects / assignments” simultaneously, at any
given point of time. I feel the MIS need of Applitech & 3P are very similar
and what is required is mere extension to 3P, what you must have already

for any other recruitment agency / executive-search company / placement company

such a firm / individual has an internet website or not.
3) Applitech
will not divulge and / or part with any procedure / business-process / document
/ system / records / software applications etc. which it has obtained access
to, during the course of this assignment at 3P Consultants and used by 3P
Consultants, to any other firm / individual.

We do not require the O/E module
