During the past 6 months, we have tried to introduce some new services/innovations on our website WWW.3PXJOBS.COM

On 18th May, we switched over from Unix Server to an NT Server. Same time we introduced new Resume Forms. Those of you who tried to fill-in these forms, complained bitterly & sent us valuable feedback.

We learned a lesson and revised/simplified the forms. These are already uploaded. Obviously some compromises had to be done to achieve simplicity - faster download.

Unfortunately, we have been able to migrate about 8000 resumes only to our NT Server. With a vastly

different database structure, we are unable to transfer nearly 50,000 + other resumes. These continue to reside on our old UNIX Server for next 3 months only.

These 50,000 + resumes will continue to remain searchable (by recruiters) for, may be, another 6 months. Then, we plan to shut-down the Unix sewer.

This will render your resume "inaccessible" to headhunters around the world!

The only way out is:

Please resubmit your resume, all over again and obtain a new Permanent Executive Number (PEN)/User ID/Password. The new PEN will be in "8000,000 series." This will enable you to edit your resume Online, anytime in future.

With the launch of our "Partner Website" program, by end of this year, I believe, your resume will become searchable/accessible by headhunters, visiting more than & you can edit on any of the 100 PARTNER WEBSITES.

This is as good as your taking the trouble to submit your resume to 100 websites (and, of course noting

down 100 passwords/100 User IDs/100 executive code numbers!)

  • Do you interview the Candidates yourself - and assess their suitability -

For the last $\text{3 days}$ you have been talking to our Consultants, trying to understand the KEY elements of our BUSINESS PROCESSES.

By now, you must have grasped one thing.

No matter what the business-process, its KEY ELEMENT IS COMMUNICATION.

Communicating with Clients - candidates - Associates - Experts etc.

Communicating by Phone - fax - email - letter - SMS - (Video ?) etc.

So our Communication has to be

  • targeted ($\text{to whom ?}$) - select target
  • fast ($\text{which mode ?}$) - fax/email etc.
  • accurate ($\text{std. responses ?}$) - templates
  • automatic ($\text{a mere "click" ?}$)

And, we need an up-to-date HISTORY of each & every communication.

The communication may be

  • Outgoing or
  • Incoming

But it must be recorded - to enable the consultants to "pick-up" the thread at any point, anytime, about any $\text{client - candidate - Asso - expert}$ etc.

While communicating, we often refer to information/data stored in $\text{Letters / Faxes / emails / phone - calls / documents}$ etc.

So we should be able to refer to these / look these up, real fast.

We must be in a position to "retrieve" these documents very quickly within seconds.

We cannot / should not waste time, shuffling thru a mountain of papers, looking for that proverbial

NEEDLE IN THE HAYSTACK.

We must be able to get hold of that needle in matter of $\text{2/3 seconds}$.

Such superfast RETRIEVAL of any

document ($\text{email / fax / letter / phone - recording}$ etc.) is possible, if we

  • "Annotate" each document with certain "Keywords" which are most likely to come to our mind, when we are looking for that document
  • Use those keywords while searching.

So this boils down to that each of our $\text{outgoing / incoming "communication / message / voice - call / letter / email / fax"}$ must be

ANNOTATED

at the very instance that it is "generated".

Ideally, we should not be able to "transmit (or inward record)" any communication unless - and until we have

ANNOTATED THE MESSAGE.

We must do this thru the

COMMUNICATION MANAGEMENT WIZARD of ORDER EXECUTION MODULE.

As far as "Incoming" documents are Concerned ($\text{letters / faxes / bills}$ etc), we must

  • Scan / OCR / Convert to text
  • annotate
  • store for future retrieval.

Outgoing "documents" will not require the first step, since

  • this are already digital
  • generated thru WIZARD

NOW the question is,

"What if you forget the exact keyword which you had used to annotate a particular document as it got generated / OCRed?"

Simple.

Use several, most likely keywords to annotate.

Those which are most likely to come to your mind when you are looking for a particular document.1

In enclosed pages, I have tried to prepare a list of such "keywords". Obviously this list is not Comprehensive. But it makes a good beginning.

Your WIZARD should incorporate this list in the fashion of a "drop-down" list.

As he/she scrolls this list, a consultant will click on as many keywords, as he/she feels are "relevant" to the message/document being annotated.

In fact, when a Consultant clicks on any keyword, all "similar keywords" should get automatically annotated. There should not be any need for him/her to separately annotate each one.

As far as "MONTH / YEAR / NAME OF SENDER / NAME OF RECEPIENT (Company - Candidate - person etc)" etc. is Concerned, these should get annotated auto-matically - No need to "click"

The list itself should be EXPANDABLE / EDITABLE by any Consultant, at anytime. This will, gradually, make it COMPREHENSIVE INESCAPABLE.

By Circulating this note/list to our Consultants, I am requesting them to expand / "enlarge" it as much as possible and then handover to you, by

TO-DAY EVENING.

As far as all "incoming" letters / bills / challans / invoices / faxes are Concerned, the recepient will attach a POST-IT slip on it, scribble down as many keywords as he/she can think of & then Send it to EDP supervisor who will get that document scanned / OCR-ed / annotated (as per slip attached) / stored in memory1.

May be we will have a printed "slip" with remarks

  • Preserve / file hardcopy for $\square$ months
  • Destroy hardcopy after scan $\square$

This would be the beginning of the PAPERLESS OFFICE.
