As per the discussion during the
meeting which took place last week, please find attached herewith document
stating the 'Scope of Work' for 'Order Execution System' to be developed.
Also attached is a document
mentioning points which we would request 3P to clarify upon.
Furthermore LTTTL would request
3P to confirm the scope of work and suggest any changes to be made to it.
LTTTL is eagerly looking forward
to further developments on the above subject matter.

SCOPE OF WORK FOR 'ORDER
EXECUTION SYSTEM'
After studying in detail the
reference documents prepared and sent by '3P Executive Search' LTTTL
understands that '3P Executive Search's' vision is to develop an Internet based
portal which would be accessed by its clients, candidates and associate companies.
The objective of owning this portal is to sell the information which '3P
Executive Search' has gathered over a period of time on Internet/In order to
fulfill all the functional and technical requirements of '3P Executive Search',
it is understood that the system would be a combination of web and
client-server technology.
In order to provide '3P Executive
Search' with a software solution, following are the broad level functions
identified, which can be framed as scope of work.
LTTTL is looking forward for the
confirmation from '3P Executive Search' on below mentioned scope and will be
awaiting further communications in case '3P Executive Search' would like any
sort of alterations, changes to be done.
Help Desk: Do away with
the barriers in order to incorporate access control through Intranet, Extranet
& Internet and come up with a single interface for its Employees,
Suppliers, Customers to access information. The idea is to provide on line
answer to the queries through website. List of queries which could come from
different sources are listed in the reference document.
Order Execution System:
'3P Executive Search's' clients would access the portal and enter requisition
for the candidates by filling up the 'Purchase Order' form. The client will in
turn receive an acknowledgement Full/Partial advance payment by the client
would be done through cheque. A search would then be performed for the
candidates whose profile match exactly with those mentioned in the requisition.
This information is then available to '3P Executive Search's' client on web.
After the client selects a suitable candidate of their choice, intimation or
reminder will be given to the candidate for an interview via e-mail. After the
interview process, an Invoice would be generated and sent to '3P Executive
Search's client for payments.
Should have a mechanism to
generate a unique identification number for the client, candidate and treat
each vacancy as a separate / distinct 'Purchase Order'. This should be followed
with an acknowledge to the client.
Follow Up with Clients:
System should support effective follow up of internal (Staff members) as well
as external ('3P Executive Search's clients, Candidates, Associates,
Advertisement Agents, Suppliers / Vendors, Bankers etc. / clients). The follow
up could be for late pending payments, feedback on bio-data etc. Mode of
communication with '3P Executive Search's clients, associate companies and
candidates would be decided after discussing with '3P Executive Search'.
Resolution such as rejection for the candidates '3P Executive Search's' client
to update the interview status would also be done after detail level
discussions with '3P Executive Search'.
Follow Up with the Candidates:
Follow up with the candidates could be regarding the date of joining expected
pay packet, feedback of the interview etc.
Follow up with the staff:
This is to ensure that the goals / objectives / targets are well defined for
each member of the staff and fixed in a definite time frame. This would also
include answers
to the queries regarding the
number of unsearched request, number of 'Interview - call' to be sent and
outstanding payments to be collected.
Interviews - Follow up:
This follow up could be in the form of questions to find out the posting
location, venue of the interview, person(s) to be met during the interview
etc..
10 Standard Statements:
These are the statements which would be generated at regular intervals. Content
of the statements could be company (client) wise, candidate-wise. Other
information like Interview schedules, interview schedule confirmation,
post-interview follow-up, application ratings would also form a part of these
statements.
Analysis of pending
assignments: System should be able to generate client-wise, consultant
wise, age-wise, professional fee-wise, expected joining date wise,
function-wise and hierarchy level - wise reports which would facilitate '3P
Executive Search' to improve the services rendered to their customers.
Interview feedback: After
the interview is over, '3P Executive Search's client would submit an interview
feedback form. The client can do feedback entry from a remote location through
web.
3 Dimensions report:
System should generate a report based on the three factors - Number, Time and
Reward. This would help '3P Executive Search' to decide the time it would take
before 100% amount gets realised, decide when to Quit/Abandon an assignment and
finally decide where to put in the efforts.
Management Information System:
As every business would like to measure the actual performance against the
targets, system should be able to generate the reports showing information
regarding all the measurable parameters. The variance is used as a feedback to
the individual to take corrective actions. This module would generate
information in a graphical format showing the trend for each item. Details of
the information and the number of reports to be generated from this module will
be clear only after in depth analysis of the requirements.
Following are the points on which
LTTIL would need further clarifications from '3P Executive Search'.
- Security Policy (Role based security)
- Database Consolidation (Will the database of all
the associated companies consolidated and formed into one?)
- Expected load on the system (Expected number of
hits on the web site, number of database transactions passed per day.)
CLARIFICATIONS ON 3P'S
EXISTING SYSTEM
LTTTL would like to request '3P
Executive Search' to provide clarification for the existing system on the
following points: -
- What database the current system is running on?
- Is the current database scalable?
- What is the size of the current database?
- What is the increment in the size of database per
day / month / year?
- How many users (In house) are currently accessing
the system?
- Which scripting language has been used to develop
the web pages?
- Is the current system architecture multi-tier or
two tiers?
- Is any load balancing technique used in the current
architecture?
- Are there two separate machines for the database
and web server?
- Are there multiple web server?
- Are there any links to other web sites?

two distinct issues needed to be addressed:
- Database related Queries / Problems
- Web related Queries / Problems
DATABASE RELATED QUERIES /
PROBLEMS:
- Define the different sources of resumes inflow
- Processing involved once the resume comes in
- Only updated resume to be saved/old resume to be
deleted
- Certain PEN missing/Data from old Unix server not
transferred to Windows NT
- ISYS - if PEN given as search, the biodata/path
cannot be viewed in toto. The same is possible if searched on NAME. One
needs to search in Explorer / Biodata path to view resume.
- Scanned biodatas' are not being saved in the route
directory. Thus the path is unknown to consultants.
- Correspondence is again not stored in the right
client directory/Letters.
- Module 1 accesses not available to all
- Review the entire process "Systems
Procedures" involved from sourcing of resume to placement of
candidate or database administration
- General Systems/Procedure Induction Manual to be
formulated and induction to be facilitated.

- Web Form is too exhaustive
- General Systems/Procedure Induction Manual to be

- Provide inhouse facility for walk in candidates' to
submit resume.
- Web Form - Job Details when filled in the Past
employment column, the process just stops. Nothing more just happens.
- Fresh and College Students resumes' are very often
received in a blank format
