Order Execution
For the last 3 days, you have
been talking to our Consultants, trying to understand the key elements
of our BUSINESS PROCESSES.
By now, you must have grasped one
thing.
NO matter what the business –
process, its KEY ELEMENT IS COMMUNICATION.
Communicating with
Clients – candidates – Associates
– Experts etc.
Communicating by
Phone – fax – email – letter –
SMS – (video?) etc.
So our Communication has
to be
- targeted (to whom?) – select target
- fast (which mode?) – fax/email etc
- accurate (std. responses?) – templates
- automatic (a mere “click”?)
And, we need an up-to-date HISTORY
of each & every Communication.
The communication may be
$\triangleright$ Outgoing or
$\triangleright$ Incoming
But it must be recorded –
to enable the Consultants to “pick-up” the thread at any point,
anytime, about any Client – candidate – Asso – Expert etc.
While Communicating, we often
refer to information / data stored in
Letters / Faxes / emails /
Phone-calls / documents etc.
So we should be able to refer to
these / look these up, real fast.
We must be in a position to “retrieve”
these documents very quickly within seconds.
We cannot / should not waste
time, shuffling thru a mountain of papers, looking for that proverbial
NEEDLE IN THE HAYSTACK.
We must be able to get hold of
that needle in matter of 2/3 seconds.
Such superfast RETRIEVAL
of any
document (email / fax / letter /
phone-recording etc.) is possible, if we
$\triangleright$ “Annotate
each document with certain “Keywords” which are most likely to come to
our mind, when we are looking for that document.
$\triangleright$ Use those Keywords
while searching.
So this boils down to that each
of our outgoing / incoming “communication / message / voice-call / letter /
email / fax” must be
ANNOTATED
at the very instance that it is “generated”.
Ideally, we should not be able to
“transmit (or inward record)” any communication unless – and until we
have ANNOTATED THE MESSAGE.
We must do this thru the
COMMUNICATION MANAGEMENT
WIZARD
of
ORDER EXECUTION MODULE.
As far as “Incoming”
documents are concerned (letters / faxes / bills etc), we must
- Scan / OCR / Convert to text
- annotate
- store for future retrieval.
Outgoing “documents” will not
require the first step, since.
- this are already digital
- generated thru WIZARD
NOW the question is,
“what if you forget the exact
keyword which you had used to annotate a particular document as it got
generated / OCRed?”
Simple .
Use several, most likely
Keywords to annotate.
Those which are most likely to
come to your mind when you are looking for a particular document.
That would Vastly improve the
[text cut off]
“find” that document in matter
of seconds.
In enclosed pages, I have tried
to prepare a list of such “keywords”. Obviously this list is not comprehensive.
But it makes a good beginning.
Your WIZARD should
incorporate this list in the fashion of a “drop-down” list.
As he/she scrolls this list, a
consultant will click on as many keywords, as he/she feels are “relevant”
to the message/document being annotated.
In fact, when a Consultant clicks
on any keyword, all “similar keywords” should get automatically
annotated. There should not be any need for him/her to separately annotate each
one.
As far as “MONTH / YEAR / NAME
OF SENDER / NAME OF RECIPIENT (Company – Candidate – person etc)” etc. is
concerned, these should get annotated auto-matically. No need to
“click” [text cut off]
The list itself should be EXPANDABLE
/ EDITABLE by any consultant, at anytime. This will, gradually, make it COMPREHENSIVE
INESCAPABLE.
By Circulating this note /
list to our consultants, I am requesting them to expand / “enlarge” it
as much as possible and then handover to you, by1
TO-DAY EVENING.2
As far as all “incoming” letters
/ bills / challans / invoices / faxes are concerned, the recipient will
attach a POST-IT slip on it, scribble down as many keywords as
he/she can think of, then send it to EDP supervisor who will get that
document scanned / OCR-ed / annotated (as per slip attached) / stored
in memory3.
May-be we will have a printed
“slip” with remarks

that despite late-starting of Phase I, the completion date for Phase
I viz. Oct. 14, 2000, will be strictly adhered to, as laid down in Annex:
B to our order.

THE Ahmedabad-based Applitech
Solutions Ltd (ASL) has accelerated its strategic alliances with several large
corporate to tap the established field of Enterprise Wide Computing (EWP)—an
extension of Enterprise Resource Planning (ERP) and Business Applications (BA).
"These orders," said
ASL vice-president Mr. Hitesh J Patel, "help strengthen ASL's establish
its competence in providing customised solutions in multi-tier client-server
architecture." Notable among them are HR consultants 3P's, Sony
Entertainment Television (SET), Bee-tech Engineering (Indonesia), British
American Tobacco (BAT) Singapore, Speciality Ranbaxy and the Indian Space
Research Organisation (ISRO).
Mr. Patel said that he considered
the 3P's order for developing a portal exclusively dedicated to IT
consultants and professionals as one of the most exciting and prestigious.
The job entailed constant upgrada-tion of the database, interlocking the site
with placement and recruitment.
The order from Sony Entertainment
TV (SET) is to incorporate extra services in its existing youth portal, https://www.google.com/search?q=freshlimada.com,
like on-line chat, live horoscopes and discussions with celebrities, fashion
and other features.
A repeat order from SET entailed
upgrading its Web-enabled architecture to incorporate its E-commerce
capabilities, enabling on-line advertisement booking and confirmation, web-enabled
slots and booking status, access to latest rate cards, in addition
to enabling credit card payment and cash transfers from bank.
However, Mr. Patel felt that the
order that demanded utmost attention was to come from Ahmedabad-based Space
Applications Centre (SAC), manufacturing the heart of satellites for ISRO. As a
repeat order, they have appointed ASL as their software development partner to
develop a component management and information system (CMIS), an application on
Linux platform, for the backend core at SAC-ISRO. Recalled Mr. Patel, ASL had
already executed similar projects for Min-istry of Defence, Singapore, which
required level of security to control and monitor 'info reports' based on
training in technology to call third party authentica-tion.
He said its alliance with the
Maritime and Port Authority (MPA) of the island-country is to develop web-based
three-tier systems for integrated training, manning, roster preparation and
salary administration for National Maritime Authority (NMA), a leading provider
of Naval training in SE Asia region.

Sudhakar also mentioned that you
might even want your finance guy to simultaneously study the integration of
finance/MIS module, along with SRS for Order Execution Module. This would

7. Finance / MIS Integration
Module
While SRS for the ORDER
EXECUTION MODULE is being executed, it will be desirable to concurrently
study the requirements for the FINANCE / MIS module.
This module will contain
- P & L Statement (Month end / Year end)
- Balance Sheet (Year end)
- Trial Balance (Month end)
- Asset Register
- Capital Budget
- GL (General Ledger)
These are necessary for
Management to take
TIMELY & INFORMED DECISIONS
& ACTIONS.
These will also be helpful for
the Auditors and the Tax Dept.
Mr. Neeraj Rathi (Applitech)
can spend 2 days with Mr. Salil Gandhi (3P – CA).
P.S.:
Communication Management
Wizard and the Order Execution Module are so inter-connected and
inter-dependent that they can be viewed as one, large "CRM"
application.
The most distinguishing
feature of this application will be its ability to retrieve ANY information,
instantaneously (in 2/3 seconds), based on "multiple Keywords" of the
Consultant's choice.
This is a unique feature.
Hence, I would encourage you to
spend more time with the Consultants on this crucial aspect.
I look forward to discussing the
final SRS document, including the proposed Database Structure, on Oct.
7, 2000.
