3P EXECUTIVE SEARCH

During the discussions, the following was agreed upon:

  • The source-code will be handed over to 3P and will become the intellectual property of 3P (Pl. see T/1 of my note dated August 24)
  • As per our requirements, we would be free to install the Order Execution Software at any number of our branches, without having to pay you any separate “license fee” for the same.

We would, however, pay you reasonable charges for “installing” this software at our outstation branches, in case we require your help/assistance in this matter.

  • Instead of waiting till the entire software package gets ready, you will examine the possibility of installing “sub-modules” of this system as each “sub-module” gets ready. This will help in debugging the system and familiarizing our staff with its use.

I have no doubt that you will deliver to us a world-class, top-quality product, in light of the following remarks attributed to Shri Mukesh Patel (Business Standard, Sept. 22, 2000):

“Mr. Patel said that he considered the 3Ps order for developing a portal exclusively dedicated to IT consultants and professionals as one of the most exciting and exclusive ones. The job entailed constant upgradation of the data base, integrating the CVs with placement and recruitment.”

We once again wish you a Happy New Year.

This has reference to our letter dated 20/10/2000 and your subsequent reply dated 30/10/2000. We are a bit concerned after having gone through your reply, and in the interest of project, we would like to share the same with you.

Your reply dated 30/10/2000 unfortunately did not contain the answer to most of our questions we had raised in our letters. I am sure you realize that these are extremely important and urgent for us, as they affect all the points mentioned below.

  1. Architecture information
  2. Freezing of requirements (without which tools can not be selected)
  3. Selection of appropriate tool (without which designing can not start)
  4. Design (without which development cannot take place)
  5. Completion of project as per agreed time line

We have received your feedback on the reports but it lacks the following:

  1. Suggestion on the content and the data fields (if any fields have to be added/ deleted)

Feedback on sorting order of each report

  1. Sample data
  2. The formats of the reports (like $e.g.$ grand total $etc.$ as requested in report formats send to you (reports nos. 37, 42, 43).
  3. $P.S.$ If a report is to be Printed $e.g.$ along with frequency $etc.$ (last page of the report format document dated 14/10/2000)

We appreciate your efforts in grouping the reports logically and will certainly find these effort valuable, but the above points definitely require immediate attention and priority, at this point of time.

We have also not received any feedback on the MOM dated 14/10/00 sent along with the report formats. Your special attention is drawn towards the following points.

  1. The complete matter of the standard letters to be given by 3P latest by 25/10/2000. (Point no:8)
  2. Format of the checklist to be given by 3P latest by 15/10/2000. (Point no:13)
  3. Format of the Shopping Basket to be given latest by 3P by 15/10/2000. (Point no: 14)

We regret to inform that as of this date we are already slipping the deadline by almost a month & non-availability of the above will only delay the project further.

Sir, I am sure you have faith in our capabilities and that's why you have chosen us for your requirement of an OES. We take great pride in following our ISO 9001 practices. Therefore in keeping with these streamlined processes, we require all the information to carry out our activities.

Sub: Order Execution System

This has reference to our various meetings we had at your office for the Order Execution System. You would appreciate that designing of a software is a very important aspect of the software development process and in order to ensure that the same is done correctly we would like to seek clarifications on the following points:

1. Architecture

We understand that 3P will have multiple locations in the near future. In order to develop the system architecture, we need to have more information on:

  • What kind of data would be exchanged between all locations?
  • Which would be the main location.
  • What type of connectivity is desired for linking these locations? Are there any special considerations for these requirements? If so please elaborate.

2. Inputs

The list of inputs (masters/ transactions) has been submitted by our team during the course of SRS. The same has to be finalized at the earliest.

3. Output

The list and the format of output (reports) have been made by you and our team. The same should be finalized to ensure that all relevant information is being captured. All reports must contain at least a few lines of dummy or real data to give us a clear picture of the report functionality. This is very important and crucial to understanding the reports.

4. Organization Structure.

We will require the current & the proposed organization structure. I.e. The hierarchical structure from topmost management and below.

5. Security

We will require a document from you stating your security needs such as the levels of security expected in the system.

6. Audit Log

A document is required by us to know your audit log requirements. What data would you like to back up? What operations should be audited? The same will help us design better by keeping your needs in mind.

  1. Front Tool

While the back end tool has been finalized as oracle 8i the front-end tool is yet to be decided. Although we are in the process of finalizing the same, we request you to kindly let us know your preferences for the front-end tool if you have any, and the reason for the preference. The following were discussed and decided upon:

  1. 3P will give the PEN No. along with inquiry details in the format as requested by ASL which will be used by ASL for candidate listing in the Order Execution System (OES).
  2. The existing database is being changed and the new database prepared by 3P will be given to ASL by $1^{st}$ week of November. The OES will use the data as captured in the existing/ revised database as and when required.
  3. The list of standard reports is to be given by 3P by 15/10/2000.
  4. The list of standard letters is to be given by 3P by 15/10/2000.
  5. The complete matter of these reports & letters will be given by 3P by 25/10/2000.
  6. The IT related industry names shall be incorporated in single industry master.
  7. Designation master is not required. It has been brought to the notice of 3P that subsequently it would not be able to search on this criterion.
  8. Function master will include the IT functions.
  9. City master is not required. It has been brought to the notice of 3P that subsequently it would not be able to search on this criterion.
  10. Reasons for rejection of proposal are to be given.
  11. 3P to give the format of the invoice.
  12. The OES will give the information of the Candidates selected to the existing data base of 3P.
  13. Format of the checklist to be given by 3P by 15/10/2000.
  14. Format of the Shopping Basket to be given by 3P by 15/10/2000.
  15. Service Master & the Product Master are not required.

  1. Rate contract will only be a Text document, which would be available at the time of making the proposal.
  2. The % of the alliance partners is not being captured anywhere and the same has to be captured. The input form of this has to be decided.
  3. All communications with 3P will carry the Sales Order Number. There will be no communication with 3P without the Sales Order Number.
  4. As the scope of the work has changed the effort for the development of the order execution system has to be re-estimated. This also leads to changes in the original project schedule. This will also have commercial implication which will be discussed with you by our marketing team.

While we are in the process of finalizing the features of our "Order Execution Module", you may wish to study SIWA and try to incorporate its best features in our Module.

As I have repeatedly stated, after a trial-period of 6/12 months we, too, would like our clients to be able to back/monitor their executive search assignments directly, on their own, on our website. Hence, this migration (to web) is an essential feature that we have to build into our Module.
