(I think interview panel members will have no time to get out of their rooms for lunch and, in most probability, realise too late to order $\&$ get their sandwiches delivered in the room on time. This is a most likely scenario for which you should have contingency-plan ready.

Even if a panel-member manages to get out of his room at 1 p.m. for lunch, another may come out at 1:30 & third may come out at 2 p.m. There is no possibility of their having lunch together - so they must know, precisely, where to proceed for lunch, without waiting for anyone $\&$ grab their lunch $\&$ return.

Hotel Management must recognise each panel-member by "face" & serve them ULTRA-FAST!

we must discuss in the afternoon.

16. Then there is also the question of "Lunch" of

* 3P Co-ordinators

* PKM $\mid$ HGP $\mid$ NHP $\mid$ Tamanhe $\mid$ Sripada $\mid$ BRISC executives.

These people must take their Lunch in "**rotation**" - especially the co-ordinators.

In fact, if a co-ordinator goes for lunch, one of us ($\text{HGP} \mid \text{PKM} \mid \text{NHP}$) should substitute him for that period. One of us must always be available on terrace / on 5th floor / on 4th floor / in Senate Room.

**WE MUST NOT LEAVE THE CANDIDATES ALL BY THEMSELVES AT ANY TIM.**

$\rightarrow$ I would strongly suggest that all of the above-named persons get their **Sandwiches / Pepsi** served on their respective tables only. If you agree, Hotel Mngt must be advised accordingly and their Waiter must collect Everybody's "**orders**" before 12 noon. They can be served anytime between 1:00 – 2:00 pm.

It would be a good idea to follow this practice for **PANEL-MEMBERS** also (if they agree)

  • We should seriously consider giving to each candidate called for interview, a plastic folder containing:

    • Instruction-sheet - draft - 1 "
    • "May we know you Professionally" - Form-typ - 4 " (?)
    • Plastic Badge / ID Card Holder - eg. simple or laminated one
    • Token-Number
    • "OWENS" product literature / History - 6/8 pages
    • "How to Surf 3P Extranet" - 2 "

    • This could be done at REGISTRATION DESK.
  • Since our Interview Panel Members are all very senior professionals, I do not see any need to bifurcate PANELS according to POSTS ADVERTISED. Each Interviewer is quite capable of interviewing all positions. So we could send any candidate to any interviewer.

So, no need to give to each Interviewer in advance, interview-schedule WITH CANDIDATE-NAMES already typed. To each interviewer, we should give a "blank" schedule such as:

At the end of the interview, each candidate must report back to the CO-ORDINATION DESK to inform that his interview is over and whether he has been asked (by the interviewer) to come for FINAL interview on next day - or not.

Of course, the Interviewer, who disposes off his candidates fast, will end-up with more candidates! But this arrangement will reduce coordination problems and speed-up the process.

You will need to go/see the layout of the hotel rooms/waiting rooms $\&$ also show it to 2/3 members of 3P staff who will sit there from 7:30 am to 8:00 pm. We might need to give a written INSTRUCTION-SHEET to each of these staff members $\&$ make NAME-PLATES for their tables.

Plastic ID Badge to be handed over to candidate during REGISTRATION. He must wear this all through out the day and must return to TABLE # 1 before leaving in the evening.

What can happen if he leaves his ID Card?

How do we ensure that these are returned? (To inform each candidate to see $\dots$ before they leave - keep their certificates / getting their ID Card.)

For Outstation-candidates, it is easy. They will be "re-imbursed" travel-expenses at the end of the day (after ensuring that the has gone thru interview), when he returns ID Badge.

Candidates called for Final interview next day, will be "re-issued" the badge - but no one will be allowed to carry it home.

PEN number should be entered by hand behind each tea coupon / Lunch coupon?
