would appreciate your sending us at your earliest, a Xerox copy of the
Appointment-Letter to enable us to submit our Invoice to the client for our
Professional-Fees.
It
is possible that the Appointment-Letter does not, explicitly indicate certain
elements of your Compensation-Package which are in the nature of Perks/Reimbursements/Allowances/Retirement
Benefits etc. No doubt you must have, during your Interview, found-out the
exact values of each of these elements. We, therefore, request you to fill-in
and return (alongwith copy of Appointment Letter) the enclosed format
indicating the Gross Monthly emoluments offered to you. Annual benefits
may be converted to pro-rata monthly figures.

When
we want to carry-out head-hunting in a specific company (e.g. Crompton
wanting a Philips lighting division executive or Global wanting a Tata Telecom
Marketing Manager or Mastek wanting a DIGITAL software project-leader), the
best source for
- such
information
- contacting
/ sending a word
would
be an employee of that company who has recently resigned/retired. He
would know their names/addresses/phone nos. He might even have the Company's
internal phone/address directory (Most large companies do have such
directories - which are a very useful source of information. In many cases, it
gives Residential Addresses as well).
An
employee who has left 2/3 years back, would have lost contact with his
colleagues. So ideal time to tap each person (for such information) is within
a few weeks of his leaving a Company - or better yet, even while he is
serving his NOTICE-PERIOD.

"Congratulations Letter" and Referral Request)
So
when we place an executive, and he accepts an appointment-letter we should
shoot-off a "Congratulation letter" wishing him success in his
new assignment. We could add,
"We
are glad to have been instrumental in securing for you a challenging
assignment. We have no doubt that you would live-up to the challenge of
this assignment. While wishing you all success, Can we make a small request?
You
would, no doubt know the

- Residential
Addresses
of
a number of middle/senior executives in your current company. You
may even have an internal Company-Directory giving this information.
It
is possible that, as you did, some of these executives too are looking for a
change. We could help them too, if we knew them and they knew us. This is
where you can help - by sending us such information.

MARKET-RESEARCH
Earlier,
I have said that every resignation/retirement creates a "vacancy"
- which is sometimes filled thru internal promotion/horizontal transfer, but
very often thru external recruitment.
Therefore
keeping track of "resignations" is one simple way of
finding-out where our "market" is.
Newspapers/magazines are
one rich source of such information
(See
enclosed tabulation prepared from an Article in Business World)
So
we should have one person daily glancing dozens of newspapers/magazines on a
full-time basis. He should high-light all "Executive Names/Name of
the Company left/Name of Company joined/Designation in New Company" -
the way I have tabulated. (Source/Date must be mentioned).
He
should then pass-on this tabulation to a Data Entry Operator to enter in PC.
Same person trying to Search in papers/magazines and also doing the entry
will be very slow and tie up the computer.

Why
is "date" necessary?
No
vacancy remains unfilled for long - Say beyond 2/3 months.
So,
if we want to "capture" this vacancy, we must act fast
- say within a week of the newspaper report. Newspaper itself may have
reported 3/6 weeks after the actual event! There is no point in trying
after 6 months.
Hence
our Computer Software (Integrated Search System) must treat each
horizontal line (entry) as a
EXECUTIVE
SEARCH REQUEST
and
produce a short-list of suitable candidates from our Database.
It
(Software) can even print-out following letter:

Whereas
a modern Industrial Enterprise can - and usually does - anticipate changes in
its external environment and prepares itself for such changes, quite often, it
is caught unaware by sudden, unexpected changes taking place WITHIN the
Organisation.
More
often than not, it has not prepared itself for such a change.
One
such change is the resignation of one of its SENIOR MANAGER.
Even
though inevitable, resignations do spring a surprise and could throw one
off-balance, even for a short-while.
Even
If this is the way you felt when Mr. XYZ left you recently,
there
is no need to despair!
We
made a quick search in our computerised Database and came-up with a short-list
of Executives, who, we believe, could fill the Void created in your
Company.

So
there is really no need to agonise over the replacement for the next 3 months.
All it will take is a few phone-calls and faxes from you and from us!
With

Of
course each horizontal line (entry) in the enclosed tabulation must be treated
as an Executive Search Request, given a NUMBER (automatic?) and
the short-list produced/found must be dumped in memory/file.
If
- and when - the Company responds favourably and asks us to fax the short-list,
we should be able to find the CORRECT one (from the memory)!
Perhaps
we could build into the program, a feature whereby if this short-list does
not get printed/despatched to the PROSPECTIVE-CLIENT-COMPANY, say, within 2
months (of despatching the letter), then it will automatically get
erased/deleted from memory. If not, we will end-up with hundreds of
megabytes worth of useless lists!

Of
course, there is another side of the Market Research - even if we fail to
capture the vacancy created in the "LOSER ORGANISATION".
And
that (flip) side is
THE
"GAINER" ORGANISATION SIDE"
This
is the Company where the executive has joined - in a still SENIOR
POSITION. In course of time (as soon as he has found his feet in the new
Organisation), he will start wielding influence/power and start taking decisions
- including manning/staffing decisions as far as departments under him
are concerned.
So,
he is a DECISION-MAKER, who should know about us and what we do.
So,
we could also "program" to send out a letter to him like,
